DataMind Platform sends a small set of emails: invitations, password reset links, usage alerts and the plan-change notice. Each one says why it was sent and what to do next; this page explains all four.
| Sent when | Key rule | |
|---|---|---|
| Invitation | Someone invites you to a company, or DataMind approves access for a new company. | The link works for 7 days and once. |
| Password reset | You ask for a reset link, or an Administrator sends you one. | The link works for 1 hour and once. |
| Usage alert | Your company reaches 70% of an allowance or of the spend cap, or uses one up, or a plan change could save money. | At most one alert of each kind per billing window. |
| Plan-change notice | Your company's plan is first assigned or changes. | It goes to DataMind's billing and legal desk. |
All four share one layout, contain no images and come from DataMind Platform.
An Administrator sends this email when they invite you to their company, and DataMind sends it when it approves access for a new company. The subject depends on the case:
You're invited to join <company name> on DataMind Platform for an existing company. You're invited to create your company on DataMind Platform for a new one.The email carries an Accept invitation button and one notice: This invitation expires in 7 days and can be used once.
If your link no longer works, ask for a new invitation. Sending one replaces the older link; the details are on Users and invitations.
You receive this email after using Forgot password? on the sign-in page, or when an Administrator sends you a reset from the Users screen. The subject reads Reset your DataMind Platform password, the heading is Reset your password and the button is Reset password.
The email carries one notice: This link expires in 1 hour and can be used once.
A newer reset request replaces older links, so when several reset emails arrive, only the most recent one still works.
While a billing window runs, the platform watches three meters: your premium tokens, your standard tokens and your spend cap. When a meter crosses a threshold, the company's active members each receive an email. The figures are the same ones the Dashboard shows, and each alert kind is sent at most once per company per billing window.
You've used 70% of your premium tokens this month, with a standard-token version.Your premium token allowance is used up. The body explains what your plan does with requests beyond the allowance, such as billing the overage within your spend cap or declining requests where the plan prices no overage. You've reached 70% of your monthly spend cap.Your spend cap is reached, requests are being declined. The body adds: New requests are declined until the next billing month, or until the cap is raised or your plan changes.A plan change could save <company name> <amount> this month. It can arrive on the 24th of the month and on the day before its last day, and only when the best plan on offer would cost at least 5% less for this month's usage. Each alert carries one button for your plans: View plans, or Compare plans on the saving suggestion.
When a company's plan is first assigned or changes, the platform sends a notice to DataMind's billing and legal desk. The notice's title is New subscription for a company's first plan and Plan changed for a switch, and its subjects read:
<company name> subscribed to the <plan> plan<company name> changed plan: <old plan> → <new plan>The notice puts Previous and Current side by side with Plan, Monthly price, Premium tokens, Premium overage /, Standard tokens and Standard overage /, and closes with Automated notification for the DataMind billing & legal desk.
How a switch affects the current month's invoice is on Pricing and Billing.
7 days, and the link works once. If it expires before you use it, ask for a new invitation.
The newest one. A new invitation replaces the earlier link, which stops working.
1 hour, and the link works once. After that, request a new link from the sign-in page; Get access and sign in covers the steps.
The link in the most recent email. A newer request replaces older links, including any you have not opened yet.
Every active member of your company, one email each.
The highest crossed threshold wins. When a meter jumps from below to used up between checks, the used-up email replaces the 70% warning, and the warning is not sent late.
Because the cap is reached. New requests are declined until the next billing month, or until the cap is raised or the plan changes. An Administrator can change the cap on Pricing or in Settings.
Yes. The suggestion compares the plans offered to your company against this month's usage and can point to a smaller plan as well as a bigger one; the details are on Pricing.
DataMind's billing and legal desk, not the company's members. Your current plan is always on Pricing.
No. The platform records a send as accepted once the mail server takes the message; it does not receive delivery receipts, bounce reports or open tracking. If an expected email does not arrive, check your spam folder first, then ask for it to be sent again.
Yes. The layout is designed for dark mode, and the emails use no images; the wordmark is text.
