Share DataMind Oda chats

You can share a chat as a read-only copy that colleagues in your company open in Oda or in a browser. They read it, take its files and can continue the work in their own Oda, while your chat stays as it is.

Share a chat

Sharing is offered in the DataMind Oda desktop app and the VS Code extension, and needs the Share DataMind Oda Chats permission on your account. Without the permission there is no Share… entry in the chat.

  1. Open the chat's menu in the sidebar, or the … menu at the top of the chat, and choose Share….
  2. Under Add people or roles, add the people and roles of your company who should read the copy; a role covers its members.
  3. Under Include files generated in this conversation, tick the files to send with the copy. Files start unticked, so none travels until you pick it; Add file… covers a file the list misses.
  4. Choose Share. Oda stores the copy on your DataMind server; the button reads Preparing… while the copy is made and Uploading {percent}% while it goes up, and when it finishes the dialog reads Shared. Copy the link or send it to the people you added. Choose Copy link to send the link, or let the people you added find the chat under Shared with me.

Oda shows these confirmations in the Share dialog. The requests themselves are answered by your company's DataMind server in its own wording, for example Conversation shared, Shared conversation updated and Stopped sharing the conversation.

A share is a snapshot: it holds the conversation as it was when you shared it, and it does not follow the chat afterwards. To bring in newer messages and files, use Update share below.

What the people you chose can do

The people and roles on the list find the chat under Shared with me in their Oda, with the name of who shared it. They open a read-only copy and can:

The shared link opens the same copy in a browser: A shared chat on the web covers that view, and Shared with me covers the reader's side.

Update a share

A share does not change by itself. Open Share… again to:

Only the person who shared the conversation can change it: a change from anyone else is refused with Only the person who shared this conversation can change it.

If the server no longer holds the share, Oda reads This share no longer exists on your DataMind server.; share the chat again if you still need a copy.

Stop sharing

Choose Stop sharing to end access for everyone: the copy is removed, the link stops working, and the people and roles on the list can no longer open it. The dialog then reads This conversation is no longer shared.

Only the person who shared the conversation or a share administrator can stop it: anything else is refused with Only the person who shared this conversation or a share administrator can stop sharing it.

Limits

One share carries at most 50 files, each at most 25 MB, the files and the conversation together at most 100 MB, and the conversation itself at most 20 MB. One share can go to at most 1,000 people and 500 roles. Over a limit, the share is refused and the limit that was hit is named:

Questions, answered

Do I need a permission to share a chat?

Yes. Sharing needs the Share DataMind Oda Chats permission on your account. Without it there is no Share… entry; if a share is refused, it reads Your account is not allowed to share conversations. Ask your administrator. Ask your administrator for the permission; Manage DataMind Oda for your company lists the permissions an account can be given.

How many people can one share go to?

Up to 1,000 people and 500 roles on one share. A role covers its members, so one role can reach a whole team.

How large can a shared chat be?

The stored conversation can be at most 20 MB; its files at most 50 files, 25 MB each and 100 MB together. A share over any of these limits is refused, and the limit that was hit is named.

Can I send the link to someone not on the list?

No. Access follows the people and roles on the list, not the link: anyone else who opens it sees This shared conversation does not exist or is not shared with you. Add the person, or a role of theirs, to the list instead.

What is the difference between updating a share and changing who can read it?

Update share moves the copy to the chat's current messages and files, for the same people. Save people changes who is on the list and leaves the copy as it is. If you changed both, save the people and update the copy as well.

Can anyone else change or stop a share I created?

Only you can change it: a change from anyone else is refused with Only the person who shared this conversation can change it. A share administrator can also stop it, and a stop from anyone but you or a share administrator is refused with Only the person who shared this conversation or a share administrator can stop sharing it.

Why is a colleague missing from the Add people or roles list?

The list offers the active members and roles you can share with, and never yourself. A person whose account is no longer active does not appear, and a role is offered only when you may share with it. A pick that is no longer valid is refused with Some recipients are not active users of this company or Some recipient roles are not active roles you can share with.

What happens to a share when the person who shared it leaves the company?

Their shares go with their account: the copy is removed, and the people and roles on the list can no longer open it.

A recipient says the chat will not open. What should I check?

That the share is still on, and that the person, or a role of theirs, is on the list. A stopped share and one that no longer includes them look the same to the reader: This shared conversation does not exist or is not shared with you. If they should have it, add them to the list again.

A file in a shared chat will not download. Why?

A download of something that is not part of the copy reads This file is not part of the shared conversation., and one whose stored file is gone reads This file is no longer available. Open Share… and choose Update share to send the chat's files with the copy again.
