Share a chat

You can share a chat as a read-only copy that colleagues in your company open in DataMind Oda or in a browser. They read it, download its files, and can continue the work as a chat of their own, while your chat stays as it is.

Share a chat

Sharing is available in the DataMind Oda desktop app and the VS Code extension, and needs the Share DataMind Oda Chats permission on your account. Without it (or while you are signed out) there is no Share… entry. Your administrator sets the permission; Manage DataMind Oda for your company explains how. You add people and roles of your company.

  1. Open the chat's menu in the sidebar (or right-click the chat's row), or the … menu at the top of the chat, and choose Share….
  2. Under Add people or roles, search for people and roles of your company and add them; a role stands for its members, and each pick becomes a chip you can remove again with its Remove {name} button. If a search finds nothing, Oda reads No user or role matches "{search}".; when everyone is already on the list, There is nobody else to add.
  3. Under Include files generated in this conversation, tick the files to send with the copy. They start unticked, so no file goes with the chat until you pick one; a chat with nothing to offer reads Oda has not created or changed files in this conversation. Add file… adds a file the list misses, for example one changed by a shell command.
  4. Choose Share. The button shows Preparing… while the copy is made and Uploading {percent}% while it goes up; when it finishes, Oda reads Shared. Copy the link or send it to the people you added. Choose Copy link to put the link on your clipboard (Link copied), or leave it: the people you added find the chat under Shared with me in their own Oda.

The dialog is titled Share conversation and explains: People you add can open a read-only copy of this conversation and continue it in their own DataMind Oda. It also notes The shared copy is stored on your DataMind server.

Warning

The dialog warns: Local files are not masked. Personal data in them is shared as is. Check the files before you include them.

While you are signed in, a shared chat carries a small badge in the sidebar; its tooltip reads Shared on your DataMind server.

Who can open the share

Update or stop a share

A share is a copy taken at that moment: it does not change by itself, and a chat has one share at a time. Open Share… again to change it.

Only the person who shared the chat can change the share; anyone else is refused with Only the person who shared this conversation can change it. A share administrator can also stop it; anyone else is refused with Only the person who shared this conversation or a share administrator can stop sharing it. When the person who shared a chat leaves the company, their shares go with their account.

What the copy carries

Limits

A share can include at most 50 files, each at most 25 MB, at most 100 MB in total, and the conversation itself at most 20 MB. One share can go to at most 1,000 people and 500 roles.

The dialog checks files as you pick them: a file over a limit is flagged, and Share stays unavailable until the list fits. Before it sends a share, Oda checks the limits again and reads one of:

If your DataMind server refuses a share instead, its message names the limit in its own words:

If a share fails

Questions, answered

Who can I share a chat with?

People and roles of your company, added by name in the dialog. Sharing needs the Share DataMind Oda Chats permission; without it the Share… entry does not appear, and nothing outside your company is reachable.

Can I add a whole role instead of adding people one by one?

Yes. Add people or roles searches the people and roles of your company; a role covers its members, so one role can reach a whole team. One share can go to up to 1,000 people and 500 roles.

Does the shared copy follow my chat?

No. The copy is taken when you share it or last update it. To add the chat's newer messages and files, open Share… again and choose Update share.

What is the difference between updating a share and changing who can read it?

Update share moves the copy to the chat's current messages and files, for the same people. Save people changes who is on the list and leaves the copy as it is. If you changed both, save the people and update the copy as well.

How do I stop sharing a chat?

Open Share… and choose Stop sharing. Access ends for everyone and the link stops working; the dialog then reads This conversation is no longer shared. Your chat and files stay as they are.

Can I send the link to someone not on the list?

No. Access follows the people and roles on the list, not the link: anyone else who opens it sees This shared conversation does not exist or is not shared with you. Add the person, or a role of theirs, to the list instead.

Can anyone else change or stop a share I created?

Only you can change it. A share administrator can also stop it; anyone else is refused with Only the person who shared this conversation or a share administrator can stop sharing it.

What happens if a file is over a limit?

The dialog will not pick it: an over-limit file is flagged and Share stays unavailable until the list fits. Each file can be at most 25 MB, and a share can include at most 50 files, at most 100 MB in total.

Why can't I find a file to include?

The list holds the files Oda created or changed in this chat that still exist. Use Add file… for the rest; if a file cannot be reached, Oda reads This file cannot be shared from here.

Which version of the chat does a share carry?

The version you are on when you share or update it. See Edit, rewind and retry a message for how versions work.

A recipient says the chat will not open. What should I check?

That the share is still on, and that the person, or a role of theirs, is on the list. A stopped share and one that no longer includes them look the same to the reader. If they should have it, add them to the list again.

Why does Oda say the share no longer exists on my server?

The server no longer holds this share, for example because it was ended elsewhere. The link stops working; open Share… and share the chat again if you still need a copy.
