The Data Mapping step of a dictionary shows one row for each record the dictionary holds, and it is where you change values by hand. Edit cells, fill gaps with AI, load rows from an Excel file, export what you see, and remove deleted rows permanently. The rows come from the dictionary's queries; this step is for what you correct or complete on top of them. Static tables have a mapping step of their own: Static table data mapping.
The step works on a deployed dictionary. Until you deploy it, Data Mapping shows Table Not Deployed instead of the grid. Click Deploy on this step, or on the banner at the top of Settings; see Dictionary settings. To read rows without editing them, use the Preview tab: Preview table data.
The grid shows one page of rows at a time.
Things to know:
The toolbar carries these actions:
| Button | What it does |
|---|---|
| Refresh data from source | Reloads the rows from the dictionary's sources. While it runs you see Refreshing data from source...; when it finishes, Data synchronized successfully; on failure, Failed to synchronize data. Please try again. |
| Upload Excel file | Imports rows from an Excel file. It expects Excel, whatever your usual export format is. On success you see Your data has been imported.; on failure, Excel upload failed with the reason. |
| Export data | Downloads the full set of rows under the current filters, not only the page on screen. |
| Fill with AI | Opens AI Data Assistant to fill the rows you selected. It stays greyed out until you select rows. |
| Clear | Blanks the editable cells in your selection. The button shows how many cells it will clear, and it is greyed out when none can be cleared. |
| Deleted (N) | Switches the grid between the active rows and the deleted rows. |
| Remove All | Removes deleted rows from the database for good. It appears only while deleted rows are showing. |
Until rows are selected, the button is greyed out and its tooltip reads Select rows to use AI fill. The assistant reads your most complete rows, up to 100 of them, as examples for what it fills.
| You see | What it means |
|---|---|
| AI fill successful, with Updated N row(s) with AI suggestions. | The assistant filled values into the selected rows. Review them, then save with Apply. |
| AI fill completed, with AI processing completed but no data changes were made. | Nothing needed changing. |
| AI fill failed, with Failed to fill data with AI. Please try again. | The run did not finish. Try again. |
Deleted rows stay in the dictionary, hidden from the grid.
Removing deleted rows with Remove All cannot be undone.
Changing mapping data needs Add/Modify Warehouse Objects. See Warehouse permissions and row-level security.
One page at a time, 50 rows per page. Use the paging controls under the grid to move through the rest of the rows.
Selections are kept per page. Paging, or changing a filter, clears the cells and rows you had selected. Select them again when you return.
No. Export data downloads the full set of rows under your current filters, not just the page on screen.
It needs rows to work on. Select the rows you want filled, and the button turns on. While it is greyed out, its tooltip reads Select rows to use AI fill.
Only the values of the rows you selected. The assistant reads your most complete rows, up to 100 of them, for context, and fills the gaps from your description. Check the values, then click Apply to save them. When nothing needed changing, it reports AI processing completed but no data changes were made.
Yes. Select cells, or tick whole rows, then press Delete or Backspace. You can also click Clear. Only editable cells are cleared, and the button's count shows how many that will be. The shortcut stays out of the way while you are typing inside a cell.
Deleted (N) only shows or hides the deleted rows; nothing is removed. Remove All removes them from the database for good, after a confirmation.
No. The confirmation ends with This action cannot be undone., and it means it: the deleted rows are removed permanently.
Yes. The column layout, the sorting and the filters you set are remembered for that dictionary. Selections are not; they last only for the page you are on.
