Slides permissions

Slides access is granted to roles. Use this page to pick the right preset or bundle for a role, and to see what else a deck needs before a permission takes effect.

Grant Slides access to a role

Every Slides permission starts off. Permissions are granted on the role, in the same editor used for every other area.

  1. Click Admin in the sidebar, then choose Profile Management > Roles.
  2. Open the role and click Permissions under Access.
  3. Pick the Slides category tab.
  4. Select a preset, such as Slides Editor, or a Standard bundle such as Decks Manager, to grant everything inside it. A preset turns on by itself once everything inside it is on, and turning a selection off removes what it granted unless another selection you keep still includes it.
  5. Click Save changes.

The individual permissions listed below are granular: they are read-only and are granted through the bundle or preset that contains them.

Note

Without permission to change roles, the permission editor opens read-only and its footer button reads Close.

How roles and permission levels combine is explained in How access works, and every permission name sits in the Permission reference.

Presets

PresetWhat it turns onTypical use
Slides AdministratorEvery Slides permission.Owners who manage Slides for the company.
Slides EditorCreate, edit, duplicate, publish, export and delete the decks you create or keep in role workspaces, view role workspaces, use the AI panel and subscribe yourself.People who build their own decks.
Slides ViewerOpen decks and role workspaces, and subscribe yourself.People who present or read decks.

Slides Editor does not include folders or live queries: it leaves out the Slide Workspaces Manager and Slide Chart SQL Binder bundles, along with the bundles for other users' decks, other users' personal workspaces and other people's subscriptions. Slides Administrator is the only preset that includes everything. For folders, see Workspaces, folders and your decks.

What each permission unlocks

The presets are built from Standard bundles, such as Decks Manager, Decks Viewer, Slide Workspaces Viewer, Slide Chart SQL Binder and Slides Subscriber. Each bundle switches on the permissions below.

PermissionWhat it lets the holder do
View DecksOpen decks you created, decks in role workspaces you hold, and decks shared with you.
Add DeckCreate a deck, or import one from a .datamindslides or PowerPoint file.
Edit DeckChange and save decks you created or keep in role workspaces you hold, including restoring an earlier version.
Delete DeckDelete decks you created or keep in role workspaces you hold.
Duplicate DeckMake a copy of a deck you can open.
Publish DeckShare a deck with users or roles.
Export DeckDownload a deck from the export menu in the editor.
View Others DecksOpen decks other users created, in the workspaces you can reach.
Edit Others DecksChange and save decks other users created, where you have edit access.
Delete Others DecksDelete decks other users created, in the workspaces you can reach.
View Slide WorkspacesSee the workspaces you may use, with their folders.
Manage Slide WorkspacesCreate, rename and delete folders in a workspace.
View Everyone's Personal WorkspaceSee other users' personal workspaces and open their decks read-only.
Bind Slide Chart To SQLBind a chart, table or text to a live SQL query, check and run it, and refresh it by hand. See Fill slides from your data.
Use Slides AIUse the AI panel in the editor. It grants nothing outside Slides.
Subscribe to SlidesEmail a deck to yourself on a schedule.
Subscribe Others to SlidesEmail a deck to other users, roles or email addresses.
View Everyone's Slide SubscriptionsSee every subscription, not only your own.
Manage Everyone's Slide SubscriptionsPause, resume, reschedule or remove any subscription.

What a deck still needs

A permission works only when the person can also reach the deck and the deck's rules allow the action.

Important

A Can edit share does not replace Edit Deck. The deck opens for editing, but saving is refused until the person also holds Edit Deck or Edit Others Decks.

Where your permissions are checked

The editor checks the same permissions the server enforces.

In a deck you can only view

A view-only deck opens in the editor with a Viewing badge under its title, where the save chips would sit, and the title reads as plain text.

See The deck editor for the full tour and Publish and share for how view or edit access is granted.

Email subscriptions

Subscriptions use four permissions of their own, all listed in the table above. Subscribe to Slides emails a deck to you on a schedule. Subscribe Others to Slides adds other users, roles and email addresses as recipients, and turns on the Others option when you subscribe. View Everyone's Slide Subscriptions shows every subscription, not only your own. Manage Everyone's Slide Subscriptions adds the pause, resume, reschedule and remove controls.

See Email subscriptions for schedules, recipients and testing.

When an action is refused

Slides checks every action again on the server, so a greyed-out control and a refusal agree. Refusals arrive as full sentences and are shown as written. For example:

For every message Slides can show, and what to do about each, see Slides troubleshooting.

Questions, answered

Which preset suits someone who only watches decks?

Slides Viewer. It lets them open decks and role workspaces and email decks to themselves. They cannot edit or export a deck unless their role is granted a wider preset or bundle.

Why can't an editor bind charts to SQL?

Binding a chart to a live query needs Bind Slide Chart To SQL, which Slides Editor does not include. Grant the Slide Chart SQL Binder bundle to the role.

Can a manager see every deck without holding every role?

No. A deck in a role workspace opens only for members of that role, or when it is shared with you. View Others Decks opens other users' decks in the workspaces you can reach. To open other users' personal decks, you need View Everyone's Personal Workspace, and those decks open read-only.

Can someone without Export Deck still email a deck?

Yes. Email subscriptions depend on Subscribe to Slides, not on Export Deck. See Email subscriptions.

Does a Can edit share need Edit Deck?

Yes, to save. The share opens the deck for editing, but saving needs Edit Deck or Edit Others Decks. Without either, saves are refused.

Why can't a role member edit a deck in their role workspace?

Being in the role gives them access to the deck. Changing it also needs Edit Deck or Edit Others Decks. Grant the role a bundle that includes one of them, such as Decks Manager.

Can I share a deck without Publish Deck?

No. Sharing with users or roles needs Publish Deck. If you can reach a deck only through a share, you cannot share it on. See Publish and share.

Does Use Slides AI give access to Minds?

No. It works only in the Slides editor. Minds access is set by Who can do what with Minds.

Why can't I edit a deck shared with me as Can view?

A deck shared with you as Can view stays read-only, even when your roles carry Edit Deck or Edit Others Decks; a refused save reads This presentation was shared with you for viewing only. Ask for an edit share, or use Make a copy to work on your own version.
