Workspaces, folders and your decks

Every deck lives in a workspace. Use the Workspaces panel to find decks, organise them into folders, and move, copy or delete them. The same actions sit in the deck menu inside the editor, under This presentation.

Find your way around the Workspaces panel

Open Slides from the sidebar. The Workspaces panel on the left lists your workspaces in this order:

  1. My Presentations, your personal workspace. It is created the first time you open Slides.
  2. One workspace for each role you hold, named after the role.
  3. Under Others' personal workspaces, the personal workspaces of other users, sorted by email. This section appears only if you hold View Everyone's Personal Workspace.

Each workspace shows how many presentations it holds; a very large count shows as 99+. Hide or show the panel with Alt+1.

Workspaces with no presentations are hidden by default. Click the eye button in the panel toolbar to show them; its tooltip reads Show empty workspaces (N), where N is how many are hidden. You can also turn them on from the Show link on the panel's hint row. Your choice is remembered in this browser.

The panel toolbar has these buttons:

The panel remembers which branches you had open for 30 days in this browser. On a first visit, one workspace opens: the one your link names, otherwise the first. After a Collapse all, nothing opens by itself.

Use Search workspaces... to find a workspace or a presentation. Results appear from two typed characters, under Workspaces and Presentations. The search scans only the parts of the tree already loaded; while some are unloaded it adds a hint such as 2 workspace trees not loaded yet - expand a workspace to search its presentations. At most 50 results show, with Showing first 50 results under them. A search that matches nothing reads No results for “{query}”. Choosing a result clears the search, opens its branch and highlights the row. A deck's row opens it in the editor; right-clicking it opens the same deck menu as the cards.

While the panel loads it shows Loading workspaces. If it cannot load, it shows Could not load workspaces, with The workspace list could not be read. inside it. If you can see nothing yet, it reads No workspaces are visible to you yet.

Open a workspace

  1. Click a workspace name. The workspace view opens with its name, its deck count and, for role workspaces, a Role workspace badge. With filters on, the count reads as shown over total, for example 12/45. The view is kept in the address, so you can bookmark or share it; the browser back button closes it.
  2. Narrow the decks with Search this workspace, the author filter Any author, or the Created range set with From and Until. Click Clear dates to remove the dates, or Clear filters to remove every filter.
  3. Choose an order from the order menu: Last modified, Newest first or Title A to Z.
  4. Click New presentation to start a deck in this workspace. The button appears only if you can create decks. Click Back to all presentations to return to the dashboard.

If the view cannot load, it shows This workspace could not be loaded with Try again. An empty workspace says Nothing in this workspace yet.

Create a folder

Folders can contain other folders.

  1. Click New folder in the panel toolbar, or right-click a folder and choose New folder inside.
  2. Type a Name in the Folder name field. If you can use more than one workspace, choose the destination under Workspace; when only one fits, the form skips the picker.
  3. Click Create. Enter submits too, and reopening the form starts it clean.

To rename a folder, right-click it, choose Rename, change the name and click Save. A folder stays in the workspace it was created in.

Move a deck

  1. Right-click the deck and choose Move.
  2. In Move presentation, choose a Workspace and a Folder. A destination that cannot take the deck is greyed out, with the reason written under its name.
  3. Click Move here.

To file a deck into another folder in the same workspace, drag it onto that folder. To move it out of a folder without a dialog, drag it onto the workspace name. Dragging does not cross workspaces; use Move for that. If the destination is refused, the dialog shows the reason and offers Make a copy instead.

Make a copy

  1. Right-click the deck and choose Make a copy.
  2. In Make a copy, change the Title. It starts as <original title> copy.
  3. Choose a Workspace and a Folder.
  4. Click Make a copy. The Copy created message confirms it.

The copy is a new presentation that you own, and the original stays where it is. The copy also gets the deck's uploaded images. If the deck's charts run as roles you do not hold, the copy cannot go into your personal workspace.

Delete decks and folders

Warning

Deleting a deck also removes its version history and uploaded images. Deleting a folder removes every folder and presentation inside it. Anyone a deleted deck was shared with loses access.

To delete one deck, right-click it and choose Delete, then click Delete in Delete presentation?. To delete a folder, right-click it, choose Delete and confirm in Delete folder?.

To delete several items at once:

  1. Click Batch select in the panel toolbar. Tick boxes appear.
  2. Tick the folders and presentations you want. Ticking a folder ticks everything inside it. If you tick every presentation in a folder, the folder shows a partial tick and is not deleted.
  3. Click Delete selected, check the list in Delete selected items? with its folder and presentation counts, then click Delete.

Leaving batch mode clears your selection. If some items were refused, the N items not deleted dialog lists each one with its reason, and everything else is deleted.

Work with a deck from the editor

The deck menu in the editor lists Assets, Make a copy, Move and Delete for the open deck, under the heading This presentation. An action your permissions do not cover stays visible but greyed out, with the reason written underneath; the footnote reads Greyed out actions are ones your permissions do not cover. See The deck editor for where the menu lives.

A deck's name is the same everywhere. Rename it from the editor title (see Create your first presentation) or by asking the AI, and the editor title and the name on the Slides dashboard stay in step. A deck always carries a name; renaming to an empty title is refused.

Limits and edge cases

Questions, answered

Who can see a deck in a role workspace?

Everyone who holds that role and has View Decks or View Others Decks, plus administrators. People outside the role reach the deck only if it is published to them. See Publish and share.

Can I move a deck from a role workspace back to My Presentations?

No. Choose Make a copy instead. The copy is a new presentation that you own, and the original stays in the role workspace.

Why can't I create a folder?

Folders need Manage Slide Workspaces, which Slides Editor does not include. Ask your administrator to grant it to one of your roles. See Roles and permissions.

A workspace I expect is missing. Why?

Empty workspaces are hidden by default. Click the eye button and choose Show empty workspaces. If it is still missing, you do not hold that role.

Can I see my colleagues' personal decks?

Only with View Everyone's Personal Workspace. Their workspaces appear under Others' personal workspaces. Their decks open read-only, and you cannot add decks to those workspaces. To work on one of their decks, use Make a copy.

Why can't I move a deck into a certain role workspace?

The deck's live charts run as one or more roles, and the deck can only live in a workspace of one of those roles. The Move presentation dialog names those roles. See Fill slides from your data.

What happens to decks in a folder I delete?

They are deleted with the folder, including every folder inside it. Anyone they were shared with loses access.

Some items were not deleted in a batch. What now?

The N items not deleted dialog lists each refused item with its reason, and the rest of the selection is deleted. Refusals are permission answers, so trying again gives the same result. Ask your administrator if you need access.

Can I move or delete a deck someone shared with me?

No. A deck shared with you cannot be moved, deleted or published by you. Only its own workspace can do that. To keep your own version, use Make a copy. See Publish and share.

Why is a role workspace in the panel but not in the Move list?

Its role is deactivated. You can still open its decks, but the workspace takes no new or moved presentations until an administrator reactivates the role.

Why can't I find a presentation in the panel search?

The search looks only at the parts of the tree the panel has loaded, so decks in unopened workspaces cannot match yet. Expand that workspace and search again; the hint names how many workspace trees are not loaded yet.

I renamed a deck. Does the new name show everywhere?

Yes. The editor title and the deck's name in lists are kept in step, whether you rename it in the editor or ask the AI. A deck always carries a name; renaming to an empty title is refused. To rename a deck, see Create your first presentation.
