Mind settings

Open a Mind's Settings tab to change its details and how it is reached: its name, description and tags, its status and responsible person, the identity its queries run as, its permission groups, and its colour and icon.

Open the Settings tab

  1. Open Minds in the left navigation and select the Mind.
  2. Select Settings in the Mind's details panel.

The tab shows Loading settings while the Mind's values load. It has two sections. General holds the Mind's name, description and tags. Permissions and Appearance holds the Mind's status, responsible person, Publication, Query Identity, Permission Groups, the File Uploads and Lake Builder settings, and its colour and icon.

The Owner Role field is shown for reference only: a Mind's owner role is set when it is created and cannot be changed here. To give a copy a different role, see Edit and duplicate a Mind. The Mind's other tabs hold its AI configuration, data sources and training cards.

Change the name, description and tags

In General:

Set the status and the responsible person

Set the query identity

Query Identity decides whose access the Mind's queries use:

On a Warehouse Builder or Lake Builder Mind the field is locked. Point at the lock on a desktop, or tap it on a touch screen, to read the reason: Lake Builder Minds always run as the messaging user. or Warehouse Builder Minds always run as the messaging user. See Warehouse Builder and Lake Builder.

Manage the permission groups

Permission Groups lists the roles that can reach the Mind. The list changes with the query identity:

Click Add permission group to add roles. The picker searches with Search permission groups... and offers only the roles you can hand out, because a group grants access to the owning role's data. Roles already on the Mind stay listed. Each chip has a remove control, and with nothing selected the field reads No groups selected. See Who can do what with Minds for what the groups unlock.

On a Warehouse Builder or Lake Builder Mind, only admins change the field, and the groups decide who outside the admin role can use the Mind. The order does not matter there, because a builder always runs as the person who messages it. A member also needs the kind's core permissions: View Warehouse Objects and Create/Edit Warehouse Objects for a Warehouse Builder, View Lake Objects and Create/Edit Lake Objects for a Lake Builder. When a selected role lacks one, a warning line under the group chips names what is missing, for example DEVELOPERS lacks Create/Edit Warehouse Objects - its members won't see this Mind. An inactive role warns instead: DEVELOPERS is inactive - its members won't see this Mind. You can still save, and when the role gains the permissions, or is activated again, its members see the Mind. See Let other roles use a builder Mind.

Publish or unpublish a Mind

A new Mind starts unpublished, and only its owner role and administrators can reach it. Publishing opens it to the roles in its Permission Groups. On a Warehouse Builder or Lake Builder Mind, those members also need the kind's core permissions.

  1. Under Publication in Permissions and Appearance, click Publish.
  2. To hide the Mind again, click the same button, now labelled Unpublish.

The change applies at once and does not wait for Save. The same button is on the General tab of the Edit Mind form. In the Minds list, the Mind selector and the chat's Mind picker, an unpublished Mind shows a crossed-out eye beside its name.

File upload settings

Under File Uploads, the field Allowed file types decides which kinds of file people can attach in chats: Images, PDF, Text (.txt) and Excel / CSV. An ordinary Mind allows all four; a Warehouse Builder or Lake Builder Mind allows Images, PDF and Text (.txt). With nothing selected, the field reads No uploads allowed, and the chat shows no Attach control.

Images, PDF and Text (.txt) go to the model as they are, without PII detection. Only Excel / CSV files open the personal data review.

Enforce PII column clarification asks the uploader to mark personal-data columns before an Excel or CSV file is sent. It is off by default, and it applies only to Excel / CSV files.

Note

Enforce PII column clarification is disabled while Excel / CSV is not one of the allowed types or while the company's global PII detection is off, and it then notes Turn on Global PII detection first.

Attaching files to a chat is described in Attach files and Excel data to a chat; the global switch is in PII detection.

Lake Builder settings

A Lake Builder Mind shows a Lake Builder group:

Both are on by default. See Warehouse Builder and Lake Builder for how they are used.

Change the colour and icon

Save or discard your changes

  1. Change the fields you need. An unsaved-changes bar appears while the edits are not saved.
  2. Click Save to apply them, or Cancel to drop them and restore the saved values.

Only the fields you changed are sent when you save. If a save fails, DataMind OS reports Failed to update mind; try again. If you switch tabs with unsaved edits, DataMind OS asks Unsaved Changes first: You have unsaved changes in Settings. How would you like to proceed? Choose Discard & Continue to drop the edits, or Cancel to stay on the tab. See Find and open a Mind.

Questions, answered

How do I open a Mind's Settings tab?

Open Minds in the left navigation, select the Mind and choose the Settings tab in its details panel. The panel and its tabs are described in Find and open a Mind.

How many tags can a Mind have?

Up to 10. Tags show as chips on the Mind's row in the Minds list and feed the list's tag filter.

Can a Mind have no responsible person?

Yes: choose Nobody in the picker. The Mind then shows no responsible person, and Show responsible person to users disappears until you pick a user or role again.

Why can't I find a user in the responsible-person picker?

Only active users are listed, searched by name or email; a user who is deactivated is left out. Roles are listed separately and are searched by name.

Why can't I change the query identity?

It is locked on Warehouse Builder and Lake Builder Minds, which always run as the person who messages them. Point at the lock on a desktop, or tap it on a touch screen, to read the reason: Lake Builder Minds always run as the messaging user. or Warehouse Builder Minds always run as the messaging user. See Warehouse Builder and Lake Builder.

Why can I drag the permission groups on one Mind but not another?

The list is ranked only when Query Identity is Execute as User, because the order decides which role is tried first. On Owner Role, the groups are plain chips: the owner role's access is inherited, and neither the owner role nor the admin is listed.

Why can't I add a role to the permission groups?

The picker offers only roles you can hand out: a group grants access to the owning role's data, so it cannot be handed out by someone who does not hold it. Roles already on the Mind stay listed.

Why is "Enforce PII column clarification" greyed out?

It needs Excel / CSV among the allowed file types and the company's global PII detection switched on. While global detection is off, the field notes Turn on Global PII detection first. See PII detection.

Where do I change a Mind's colour and icon?

In the Settings tab, under Permissions and Appearance: Mind Color sets the colour and Mind Icon the icon. The icon grid starts with 72 icons; Show more icons reveals the rest.

Does the Edit Mind window change the same fields?

Most of them. The Edit Mind window shows the same details on its General and Appearance tabs, grouped with AI Config and Sources; the name itself is changed here in Settings. See Edit and duplicate a Mind.

How do I change a Mind's status?

Under Status, pick None, Testing, Pre-release or Production, then click Save. A Mind with None shows no badge.
