Share a report

Sharing gives people outside a report's workspace access to it, as viewers or editors. A public link goes further: anyone with the link opens the report without signing in.

Before you share

Share a report with people and roles

  1. Open the report and choose Share in the report header. You can also choose Share in the report's item menu in the workspaces panel.
  2. In the Share report dialog, the Shared with list shows everyone who already has access. When nobody else does, it reads: "Nobody yet. Anyone in the workspace this report lives in can already see it; sharing is for reaching people outside it."
  3. Under Add people or roles, type in Search users and roles and add a person or a role. Search matches a user's name or email address; a role row covers everyone who holds the role.
  4. On each row, choose Can view or Can edit. To take access away, remove the row.
  5. Click Save sharing. The button stays off until you change the list.
SettingWhat it allows
Can viewOpen and read the report. A change is refused with "This report was shared with you for viewing only."
Can editChange the report. It still cannot be shared further, moved to another workspace, deleted or exported through API tokens.

Saving replaces the whole list: people you removed lose access, changed permissions update and new people gain access, all in one save. Clearing every row and saving removes every share. A Sharing updated notice confirms the save and counts the people the report is shared with. When someone is covered twice, once directly and once through a role, the higher permission applies.

Deactivated roles cannot receive new shares and are not offered in the search. If the dialog cannot read the current list, it says "Could not read who this report is shared with" and "Close this and reopen it before changing anything - saving now would remove everyone." Close and reopen the dialog before you save.

Send someone a bookmark or the view you see

To point someone at a particular view of a report they can already open, send a link from Bookmarks in the report header:

These links grant nothing: the person needs their own access to the report, through its workspace or a share, and row-level security still decides what they see. See Share a bookmark or a view.

Create a public link

The Public links section appears only if you hold Share DataPrism Reports, and you manage links only for a report you reach through its own workspace. Several links can be live at once, so you can give each audience its own link. Until one exists the section reads No public links yet. Create one to embed this report anywhere., and while it loads the list it shows Loading public links...

Warning

Anyone with a public link can view this report - no sign-in, fully interactive.

  1. Open the Share report dialog and find Public links.
  2. Optionally type a label in the field that reads Label (optional), to tell links apart. It holds up to 200 characters; a link without a label reads Untitled link in the list.
  3. Choose Expires after: 1 day, 7 days, 30 days, 60 days, 90 days or Never. The default is 30 days. Choosing Never warns that the link keeps working until someone revokes it.
  4. Click Create link. It stays greyed out while DataPrism checks the report's model for row-level security.
  5. In the Link created notice, click Copy link.
Important

The full link is shown only once, at creation. If you lose it, revoke that link and create a new one; the old link cannot be shown again.

A report whose model has row-level security cannot have links at all. The section then shows the notice "Public links are not available for reports built on a model with row-level security.", its badge reads Unavailable, and it offers no field or button to create a link; existing links stay listed. While a link is live, that model cannot turn row-level security on. See Row-level security and View as.

Manage and revoke public links

  1. Open the Share report dialog and look at Public links. The section header carries a badge: Unavailable when the report's model has row-level security, or a count of the live links such as 3 active, and no badge at all when none are active. Each row shows its label or Untitled link, its status Active, Expired or Revoked, when it was created, how many times it was opened and when it was last used, or Never used.
  2. To stop a link, choose Revoke on its row, then Revoke to confirm. Keep cancels.

A Public link revoked notice confirms it. The link stops working at the next open, and the row stays in the list as history. A revoked link cannot be restored; create a new one instead. If the list cannot load, the section says "Could not load the public links."

What visitors to a public link see

Questions, answered

Do I need to share a report with people in its workspace?

No. People in the workspace where the report lives already see it. Sharing reaches people outside that workspace.

Can I share a semantic model?

No. Only reports can be shared. People reach a semantic model through the workspace it lives in. See Workspaces, folders and the home page.

Can someone I shared the report with share it with others?

No. Sharing and public links are managed from the workspace the report lives in, not through a share. The same rule also blocks moving, deleting and exporting the report through API tokens.

What can someone with Can edit do?

They can change the report. They still cannot share it further, move it to another workspace, delete it or export it through API tokens. Someone with Can view who tries to change the report is refused with "This report was shared with you for viewing only."

I removed someone from the share list but they still have access. Why?

Nothing changes until you click Save sharing. While you edit, the rows you removed are only a draft; saving replaces the whole list at once.

Why can I not create a public link?

Three common reasons. The report's model has row-level security on: the Public links section shows the notice "Public links are not available for reports built on a model with row-level security.", its badge reads Unavailable, and it offers no controls to create a link. You do not hold Share DataPrism Reports, so the Public links section does not appear at all. Or you reach the report only through a share, and links are managed from the workspace the report lives in.

I lost my public link. What do I do?

The full link is shown once, right after you create it, and it is not listed again. Revoke the lost link and create a new one.

Can I put a public link on our intranet?

Yes. Create a link with a Label such as Intranet page and copy it. Anyone with the link opens the report read-only without signing in, until it expires or someone revokes it.

How do I stop a public link?

Open the Share report dialog, find the link under Public links, choose Revoke on its row and confirm with Revoke; Keep cancels. The link stops working at the next open and cannot be restored.

How do I see whether a public link is used?

Each row shows how many times the link was opened and when it was last used; a link nobody has opened reads Never used. The counts update in the background, so they are a guide rather than an exact log.

How do I send someone the exact view I am looking at?

Open Bookmarks in the report header and choose Copy link to this view, then send the link. It opens the report with your page and selections, for anyone who already has access to the report; share the report first if they do not.

Can people who open a public link change the report or download its data?

No. A link opens a read-only view. Visitors can filter and explore the visuals, but they cannot change the report, download data or open a chart's SQL.
