The Workflows screen lists the workflows you can see, shows each one's state at a glance and opens its runs. Use it to find a workflow, check whether its schedule is on and see how its recent runs went.
The workflow list is in the left panel. The tabs, the run timeline and the runs table are on the right. To read the runs themselves, see Job runs. The list, the cards and the runs table update by themselves while the screen is open, so you do not need to reload the page. If the connection drops, the screen reconnects on its own.
The Workflows screen is built for desktop. On a phone-sized screen, DataMind OS opens Minds instead.
| Filter | Options |
|---|---|
| Schedule Status | Scheduled, Unscheduled |
| Tables | Has Tables, No Tables |
| Last Execution Status | Success, Error, Running, Other |
| Data Source | One entry per data source, with a Search sources... box |
The menu shows only options that match at least one workflow, and it reads No matching sources when a source search finds nothing. The option you have picked stays visible, and picking it again clears it. When nothing matches, the list reads No workflows found.
Last Execution Status groups workflows by their last run: Success (finished), Error (failed), Running (running, or running with an error) and Other (anything else, such as an aborted run or a workflow that has never run).
Click the bell on the toolbar to show only workflows with alerts, and click it again to show them all; its tooltips read Alerts only and Show all workflows. See Failure alerts. In a narrow window the toolbar becomes compact and the chip labels collapse to icons.
Search and filters narrow the workflow list only. The runs table and the timeline do not change. To narrow the runs, click a card, a tab or a type chip.
A card shows the data source's name and the workflow's name when they differ, for example Orders and Orders (Snapshot). When the workflow's name is the data source's name followed by (Standard), one name shows. The card also shows the workflow type and the number of tables; for a Warehouse workflow, the number counts its transformations whose schedule is on. Workflows with the most tables are listed first, and a system-made workflow appears in the list only once it has something to run.
The coloured dot on the card shows the status of the latest run:
| Dot | Latest run |
|---|---|
| Green | Finished |
| Amber | Running or Running Error |
| Red | Failed or Error |
| Accent | Aborted |
| Grey | Any other status, or no run |
A workflow whose latest run failed shows the failure state here, so you can spot the workflows that need attention. The dot also stays grey when the workflow has neither a synced and deployed table nor an active transformation, even if it ran before.
Two more elements appear on the card:
The On/Off button on the right turns the schedule on or off. See Schedules and when a workflow starts.
Move the pointer over a card to show its actions:
Above the runs table, the panel header shows a small timeline of recent runs, newest on the right. Every run except a Finished one is marked with a dot coloured by its status, and clicking a dot opens that workflow's tab and shows its runs. The System Trace button opens the same picture larger, with a short guide to reading it. See System Trace and the run timeline.
| Setting | What it does | Default |
|---|---|---|
| Panel | Shows or hides the workflow list. Click Hide panel or press Alt+1 to hide it. Click Show panel or press Alt+1 to show it. | Shown |
| Width | Sets the width of the list. Drag its edge to resize it, up to half the screen. | About 500 px, and not narrower than about 310 px |
Whether the panel is shown is remembered in your browser. Its width is not: the panel returns to the default width when you show it again.
?modal=create, the create dialog opens. The link behind Add workflow on the Dashboard works this way.?metadataId=<id>, such as a workflow opened from a chat, opens that workflow's tab and shows only its runs once the list has loaded. In both cases, the extra part disappears from the address afterwards.
Permissions apply to each workflow type. Without the permission, the control is hidden or disabled.
If your access is revoked, or your session ends, you are disconnected from live updates and must sign in again. For the full list, see Workflow permissions.
Search and filters narrow the workflow list only. To narrow the runs, click a card, a tab or a type chip.
Click the selected card a second time, or click the first tab, Workflows.
The dot is grey when the workflow has no synced and deployed table and no active transformation, even if it ran before. It is also grey when its latest run has none of the statuses in the dot table above.
Other covers any last run outside the Success, Error and Running groups. That includes an aborted run and a workflow that has never run.
Open tabs are kept in your browser. Close a tab with its close button to remove it.
A tab closes when its workflow no longer exists, when you can no longer see it, or when a type chip hides it. Selecting Lake closes your Warehouse and WriteBack tabs. Opening another tab once 20 are open closes the oldest.
You hid it with Hide panel or Alt+1. Press Alt+1, or click Show panel, to show it again.
You see a type chip only when you hold the matching View permission, such as View Lake Workflow Objects. Ask your administrator for it. See Workflow permissions.
The filter menu lists only values that at least one workflow has right now, and it keeps the value you selected. When a value no longer appears in any workflow, it leaves the menu.
No. It remembers only whether it is shown. The width returns to the default, about 500 px, when you show the panel again.
