Share and copy training cards
Sharing links one card into several Minds, so they all read the same text. Copying gives each Mind its own independent version. This page covers both, plus converting a shared card to a local copy and removing cards safely.
To turn files into cards, see Upload files as training cards. To write and organise cards by hand, see Train a Mind with training cards.
Share a card with other Minds
Sharing links the same card into other Minds. Nothing is copied.
- Open the card in the Mind that owns it and click Share in its header. You can also right-click the card in the Explorer and choose Share….
- In Manage shares, select one or more Minds under Available minds. Type in Search minds… to narrow a long list. The list leaves out the owner Mind and the Minds that already have access.
- Click the arrow button between the two lists. Its tooltip reads Share with 2 minds for two selected Minds.
- Check the Shared list. Your own Mind is listed first with an Owner badge, and a Mind you just added appears with a New tag.
The toast Shared confirms the share, with a line such as "Shared with 2 minds." To stop sharing with a Mind, click the remove icon beside it in the Shared list. The toast Share removed ("This mind no longer has access to the card.") confirms it. If an action does not go through, the toast reads Share failed or Unshare failed. Manage shares cannot be closed while a share or unshare is still running.
Share several cards at once
- Click Batch select in the Training Hub toolbar and tick the cards.
- Click Share 2 selected cards with other minds in the batch actions.
- In Share with Minds, read what sharing does: "Links these same cards into the selected minds - nothing is copied. Edits made here reach every mind they are shared with."
- Under Target Minds, pick the Minds. Select all and Deselect all apply to the list you see, and the Mind the cards belong to is not offered.
- Click Share with 2 minds. The toast Cards shared confirms it. Cards that already had access are skipped and counted; if every card already had access, it says "The selected cards were already shared with those minds."
Copy cards to other Minds
Copying creates independent cards. Later edits on either side do not reach the other.
- Click Batch select in the Training Hub toolbar and tick the cards.
- Click Copy 2 selected cards to other minds in the batch actions.
- In Copy to Minds, read how copying differs: "Creates independent copies in the selected minds. Later edits here will not reach them."
- Under Target Minds, pick the Minds.
- Click Copy to 2 minds. The toast Cards copied confirms it.
Copy is available from batch select only.
Convert a shared card to a local copy
Converting makes an editable copy in your Mind and removes the share. The copy stops receiving updates from the original.
- Open the shared card and click Convert to local in its header. You can also right-click the card and choose Convert to local. The tooltip reads "Creates an editable copy in this mind and removes the share. The copy stops receiving updates from the original."
- In Convert to local card?, click Convert. The dialog says: "A local copy will be created in this Mind and the share will be removed. It will no longer receive updates from the original."
The copy keeps the card's name. If that name is already used in your Mind, " (copy)" is added, and a second copy gets " (copy 2)". A toast confirms the new name, and the new card is selected in the Training Hub. A failure reads Convert failed.
Work with a card another Mind shared with you
A card that another Mind shares with yours shows a Shared badge. Pointing at it reads "Shared from {owner Mind} - click to open the original", and clicking it opens the original in the Mind that owns the card.
The card is read-only in your Mind: you cannot change its name, content, tags or type. Saving there shows Read-only with "Shared-in cards can only be edited from their owner mind."
- To edit the card, open it in its owner Mind, or click Convert to local to get your own editable copy.
- To leave the share, click Remove in the card's header. Its tooltip reads "Removes this card from your mind and cancels the share. The source card is unaffected." The card disappears from your Mind; the owner's card stays.
- Batch select leaves shared-in cards out, so bulk actions never include them.
Remove or delete a card
What the confirmation says depends on who owns the card and who else reads it.
- A shared-in card: Remove shared card? with "This card is shared with you. Removing it cancels the share to your mind - the owner's card is not affected." Confirm with Remove.
- A card you own that no other Mind reads: "This will permanently remove this training card from this mind. This action cannot be undone." Confirm with Delete.
- A card you own that is still shared: it is removed from your Mind, and its ownership moves to one of the Minds it was shared with. The confirmation says "This card is shared with {names}. It will be removed from this mind and its ownership moves to one of them - nothing is deleted." If its name is already taken in that Mind, the card is renamed.
- Deleting a folder removes every card inside it; cards shared with other Minds move to one of those Minds instead.
Who can do what
- Sharing a card with another Mind, copying it or converting it needs access to each Mind involved. If you do not manage one of the Minds, the action is refused with You do not have permission to manage this mind.
- Converting a shared card to a local copy needs Add Training Cards and View Training Cards.
- The Mind that owns a card always keeps access, so you cannot unshare it there.
- The full permission list is in Who can do what with Minds.
Limits
- Copying works through Batch select only.
- A share or copy request can carry at most 500 cards, and one request can name at most 100 target Minds.
- A copy request can create at most 500 cards in total: the number of cards multiplied by the number of target Minds must not exceed 500.
- A batch share is all or nothing: when a request mixes cards your Mind owns with cards it does not, it is refused and nothing is shared.
- Copying fails if a target Mind already has a card with the same name. The message starts with Name conflicts in target minds.
- A card that is still converting its PDF, or still being vectorized, cannot be copied or converted to a local card. Try again when it finishes.
- Stopping a share removes that Mind's access to the card, its saved versions and its PDF.
Questions, answered
What is the difference between sharing and copying?
Sharing links the same card into other Minds, so every edit reaches every Mind it is shared with. Copying creates independent cards that do not change when the original changes.
Why can't I edit a card that another Mind shared with mine?
The card is shared into your Mind from another Mind, so it is read-only here. Edit it in its owner Mind, or click Convert to local to get an editable copy.
If I remove a shared card from my Mind, is the original deleted?
No. Removing a shared card cancels the share to your Mind. The owner's card is not affected.
After Convert to local, does my copy still update?
No. The local copy stops receiving updates from the original, because the share is removed when you convert.
Does a converted copy keep its PDF?
Yes. The local copy gets its own copy of the PDF attachment, and it stays readable even if the original card is deleted later.
Why did my copy fail with "Name conflicts in target minds"?
The target Mind already has a card with the same name. Rename the card you are copying, or rename or delete the card with the same name in the target Mind, then copy again.
Why can't I copy a card that is still processing?
A card that is still converting its PDF, or still being vectorized, cannot be copied or converted to a local card. Try again when it finishes.
How do I see which Minds a card is shared with?
Open the card and click Share to open Manage shares. The Shared list shows every Mind with access; the owner Mind comes first with the Owner badge.
Who can share or copy a card?
You must be able to manage the Mind that owns the card and each Mind you send it to; otherwise you see You do not have permission to manage this mind. Converting a shared card also needs Add Training Cards and View Training Cards. See Who can do what with Minds.
Can I unshare a card from the Mind that owns it?
No. The Mind that owns a card always keeps access. In Manage shares it appears first with the Owner badge, and you unshare other Minds only.
