The DataPrism home page lists the reports and semantic models you can reach. Beside it, the workspaces panel holds them: your personal workspace first, the role workspaces you share, and the folders that group what is inside.
Every DataPrism home page shows the workspaces panel on the left. It lists:
You can open what is in another user's personal workspace, but you cannot add to it: the create actions are hidden there.
A workspace whose role is deactivated stays in the list but accepts nothing new. When a role is deleted, its workspace disappears. If you are an administrator, you also see the workspaces of deactivated roles.
When nothing is there yet, the panel reads: "No workspaces yet. Creating your first report or semantic model provisions your personal workspace."
Search workspaces... narrows the tree by name. While you search, every workspace and folder shows expanded, and a folder that matches keeps its contents visible. A workspace with nothing matching drops out of the list unless its own name matches.
The toolbar holds:
| Control | What it does |
|---|---|
| New | Creates a report or a semantic model. Options you are not allowed to create do not appear. |
| Refresh | Reloads the panel and the feed. |
| Show empty workspaces / Hide empty workspaces | Lists or hides workspaces with no items, with a count like Show empty workspaces (2). Your choice is remembered in this browser. |
| Batch select | Starts choosing items for a bulk delete; see below. |
| Expand all / Collapse all | Opens or closes every workspace and folder at once. |
New items land in the workspace you are working in. To build one, see Build a report or Semantic models and BI tables.
Open an item's menu, from its row or from its actions button on a card, for Open, Make a copy, Export, Export .semanticModel..., Move, Share, Subscribe to email and Delete. A semantic model has no Share. A row and its card always offer the same actions, and a keyboard shortcut never reaches an action the menu would not offer.
Folders nest inside a workspace. To create one:
To rename a folder, right-click it, choose Rename, change the Name and click Save. A name can be up to 120 characters; the dialog shows Name is required or Name is too long when the name does not fit.
To reorganise, drag a folder onto another folder in the same workspace. A folder cannot be dropped into itself, its current parent, or its own subtree, and a folder never changes workspace: you see The parent folder belongs to a different workspace. or A folder cannot be moved inside itself., and the folder stays where it was.
Dragging works only inside one workspace, and it is off while you are in batch mode. Drop an item on the workspace row to take it out of every folder.
If a folder action fails, a message like Folder not created, Folder not updated or Folder not deleted appears with the reason.
The feed beside the panel lists the same items, with its own sections, search and card or table views; it is covered in full on The DataPrism home page. The panel and the feed refresh when you create, update, copy, import or delete items, and Shared with me refreshes when someone shares a report with you.
The dialog lists what will go, counts them, and warns that anyone the items were shared with loses access. Afterwards the result reads Deleted or Nothing was deleted, or it reports how many items were not deleted and adds See what stayed. Items a folder in the same selection already removed are skipped, not reported as failures, and anything refused is listed with its reason.
Deleting is permanent, and deleting a folder also deletes everything inside it: nested folders, and the reports and semantic models they hold.
Fold the panel away with Hide panel, or with Alt+1. A narrow rail stays on the left; click it, or use Show panel, to bring the panel back. The panel also remembers the width you set and which workspaces you left open.
| Permission | What it allows |
|---|---|
| View DataPrism Workspaces | See your personal workspace and the role workspaces you hold. |
| Manage DataPrism Workspaces | Create, rename and remove folders. |
| View Everyone's Personal DataPrism Workspace | See other users' personal workspaces. Read only. |
For how these combine, see Who can do what in DataPrism. To change a role, see Roles and permissions.
DataMind creates My Reports for you the first time your workspaces load, so it is always in the panel, pinned first. You never create it yourself; a report or a semantic model you create simply lands in it.
Every role you hold has a workspace, listed by the role's name. If a role is deactivated, its workspace stays listed but accepts nothing new, and a message explains that when you try to place something in it; if a role is deleted, its workspace disappears. Administrators see the workspaces of deactivated roles too.
Your personal workspace is never hidden: it stays pinned first even when it holds nothing. Show empty workspaces applies to the other workspaces.
While a search is running, every workspace and folder is shown expanded, so matches inside folders are visible without opening them one by one. A folder that matches keeps its contents listed; a workspace with nothing matching drops out unless its own name matches.
A folder name cannot be empty, and it can be up to 120 characters. The dialog shows Name is required or Name is too long; if a change is refused, the reason appears in the dialog.
Yes, by dragging it within the same workspace. A folder cannot be dropped into itself, its current parent, or its own subtree, and it cannot move to another workspace: you see A folder cannot be moved inside itself. or The parent folder belongs to a different workspace.
Click Batch select in the toolbar and tick items. Ticking a folder selects everything inside it, and workspaces cannot be ticked. Leaving batch mode clears the selection. Then use Delete selected and confirm.
The folder and everything inside it: nested folders, and the reports and semantic models they hold. In a mixed selection, items a folder already removed are skipped rather than reported as failures, and the result says what stayed.
Folder changes need Manage DataPrism Workspaces. Ask an administrator to add it to one of your roles; see Who can do what in DataPrism.
