Sharing gives people outside a report's workspace access to it, as viewers or editors. A public link goes further: anyone with the link opens the report without signing in.
| Setting | What it allows |
|---|---|
| Can view | Open and read the report. A change is refused with "This report was shared with you for viewing only." |
| Can edit | Change the report. It still cannot be shared further, moved to another workspace, deleted or exported through API tokens. |
Saving replaces the whole list: people you removed lose access, changed permissions update and new people gain access, all in one save. Clearing every row and saving removes every share. A Sharing updated notice confirms the save and counts the people the report is shared with. When someone is covered twice, once directly and once through a role, the higher permission applies.
Deactivated roles cannot receive new shares and are not offered in the search. If the dialog cannot read the current list, it says "Could not read who this report is shared with" and "Close this and reopen it before changing anything - saving now would remove everyone." Close and reopen the dialog before you save.
The Public links section appears only if you hold Share DataPrism Reports, and you manage links only for a report you reach through its own workspace. Several links can be live at once, so you can give each audience its own link.
Anyone with a public link can view this report - no sign-in, fully interactive.
The full link is shown only once, at creation. If you lose it, revoke that link and create a new one; the old link cannot be shown again.
A report whose model has row-level security cannot have links at all: "Public links are not available for reports built on a model with row-level security." While a link is live, that model cannot turn row-level security on. See Row-level security and View as.
A Public link revoked notice confirms it. The link stops working at the next open, and the row stays in the list as history. A revoked link cannot be restored; create a new one instead. If the list cannot load, the section says "Could not load the public links."
No. People in the workspace where the report lives already see it. Sharing reaches people outside that workspace.
No. Only reports can be shared. People reach a semantic model through the workspace it lives in. See Workspaces, folders and the home page.
No. Sharing and public links are managed from the workspace the report lives in, not through a share. The same rule also blocks moving, deleting and exporting the report through API tokens.
They can change the report. They still cannot share it further, move it to another workspace, delete it or export it through API tokens. Someone with Can view who tries to change the report is refused with "This report was shared with you for viewing only."
Nothing changes until you click Save sharing. While you edit, the rows you removed are only a draft; saving replaces the whole list at once.
Three common reasons. The report's model has row-level security on, and then creating the link is refused with "Public links are not available for reports built on a model with row-level security." You do not hold Share DataPrism Reports, so the Public links section does not appear. Or you reach the report only through a share, and links are managed from the workspace the report lives in.
The full link is shown once, right after you create it, and it is not listed again. Revoke the lost link and create a new one.
Yes. Create a link with a Label such as Intranet page and copy it. Anyone with the link opens the report read-only without signing in, until it expires or someone revokes it.
Open the Share report dialog, find the link under Public links, choose Revoke on its row and confirm with Revoke; Keep cancels. The link stops working at the next open and cannot be restored.
Each row shows how many times the link was opened and when it was last used; a link nobody has opened reads Never used. The counts update in the background, so they are a guide rather than an exact log.
No. A link opens a read-only view. Visitors can filter and explore the visuals, but they cannot change the report, download data or open a chart's SQL.
