Add and remove users in bulk

Register many people at once from an Excel file, or delete several accounts in one go. Both start from the user list: open Admin > Profile Management > Users and use Batch Add or Batch Delete in the toolbar.

Add users from an Excel file

  1. Click Batch Add. The Batch Register Users dialog opens on the Upload step; Cancel closes it.
  2. Under Download Template, click Download. The template downloads as user_batch_template.xlsx, with the columns Name, Email and Role.
  3. Fill in one row per user. Separate several roles with commas.
  4. Drop the completed file on the drop zone (Drop Excel file here), or click or browse to upload. The dialog shows the file's name and size.
  5. Click Upload. An overlay reads "Uploading and processing users…" while the file is processed.
  6. Read the Results step:
    • All users registered means every row was processed.
    • Registration completed with skips means some rows were skipped. The step shows how many users were skipped and offers Download skipped.
  7. Fix the skipped rows, then click Upload Another to upload again, or click Done to close.

The file must follow these rules:

A row that breaks a rule is skipped, and the other rows are still registered. The Download skipped file lists each skipped row with a reason:

ReasonWhat to fix
Name is RequiredEnter a name in the Name column.
Email is RequiredEnter an email address in the Email column.
Email is invalidCorrect the email address.
At least one role is requiredEnter a role name in the Role column.
Invalid role(s): <names>Replace the names with roles that exist.

If the file itself cannot be read, the upload fails with Failed to parse the provided Excel file or No worksheet found in the Excel file. Re-save the file in Excel and upload it again.

Delete users in bulk

  1. Click Batch Delete. The Delete users dialog opens and lists every account except your own.
  2. Tick the accounts to delete: click a row, or press Enter or Space on it. Use Search users... to narrow the list and Selected only to see just your selection; Select all and Deselect all act on the filtered rows. A badge counts your selection against the full list, and deactivated accounts carry an Inactive badge. Delete selected stays off until you tick at least one account.
  3. Click Delete selected, then confirm with Delete in the Delete selected users dialog: <n> user(s) will be deleted. This cannot be undone.

After the run:

Warning

Deleting accounts cannot be undone. If you may need an account later, deactivate the user instead; single-user actions are on Users.

Questions, answered

How many users can one Excel file hold?

Up to 300 data rows. A longer file is refused with Excel file exceeds the maximum allowed rows. Maximum: 300, provided: <n>. Split the file into smaller files and upload them one by one.

What columns does the template need?

Name, Email and Role. Every row needs a name, a valid email address and at least one role that already exists. Separate several roles with commas.

Why can I not use Batch Add?

Batch Add needs an active Email channel, because each new user receives a generated password by email. Without one, the button is unavailable and reports "Batch registration is unavailable: no active email notification config found". Add or activate an Email channel in Notifications.

Some rows were skipped. How do I see why?

Click Download skipped on the Results step. The file lists each skipped row with a reason such as Email is invalid; the reasons and fixes are in the table above. Fix the rows, then click Upload Another to upload again.

My Excel file is under 10 MB, but the upload fails. Why?

The picker allows files up to 10 MB, but DataMind OS accepts uploads up to 5 MB. Keep the file under 5 MB; split it if needed.

Do users added from Excel get a password?

Yes. Each new user receives a generated password by email.

After a bulk delete, some users are still in the list. Why?

Those accounts could not be deleted. The dialog stays open and reports <deleted> deleted, <failed> failed. The failed accounts stay in the list, so select them again and retry.

Can I undo a bulk delete?

No. Deleting accounts cannot be undone. If you may need an account later, deactivate the user instead.

Why is my own account missing from the delete list?

You cannot delete your own account ("Cannot delete your own account."), so the dialog leaves it out.
